Shining Christian Movers (SCM) Academy is committed to protecting the data that is being collected and ensuring the proper storage and security of such data under its custody. This policy provides information on the kind of data that is being gathered by SCM for its current, previous, and prospective students; where it is being used; who has access to such information; and how this information is being shared, retained, and disposed of. This information is being shared in compliance with the Philippine Republic Act No. 10173, known as the Data Privacy Act of 2012 (DPA) and its Implementing Rules and Regulations (DPA-IRR). 

This notice may be revised at any time without prior notice and such changes will be notified to you through the appropriate channels.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Who we share your data with

We do not share any confidential data with any third party organization. All data stored and collected here is accessible only by select staff within the organization.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How is the data being shared and transferred:

Where SCM considers the transfer and sharing of your data necessary for the purposes of data storage, processing, materials, products, presentations, academic linkage programs, etc, we may transfer relevant data to third party institutions within or outside of the Philippines under conditions of confidentiality and to be used only for official business purposes. SCM does not give away student information that is not necessary for the institution receiving it to perform the duty required (such as field trip locations, hospitals in times of emergency, etc). Such data is being transferred either in person or through the appropriate medium depending on the nature of the data being shared. 

How is your data being secured:

SCM stores physical data (i.e. forms, letters, sheets, etc) within the office of the principal and registrar’s area while digital data (i.e. pictures, videos, etc) is being stored within various hard drives which are only accessible within closed and highly secure operating systems. Only authorized personnel are allowed access to personal student and parent data which is facilitated through internal shared files, email, and paper files requiring the appropriate approval.

How long is the information retained:

The data that is being gathered by SCM is being retained on different periods depending on how long the data is needed in order to perform the purpose for which it was collected. Classroom attendance, for example, is only relevant for the semester or school year while grades and other student records are kept indefinitely should there be a need for the issuance of a transcript of record or in order to check whether the student was previously enrolled in the institution. 

How is the data being disposed:

SCM defaults to disposing of data once they are no longer necessary to the purposes of it’s collection. The disposal method would vary depending on the level of sensitivity of the information. Non-sensitive materials are discarded through ordinary means (trash bins, garbage bags, etc.) while more sensitive materials are being shredded, ripped, or incinerated. Software or digital data is being deleted from the device and made to be irrecoverable by any sort of means and the oldest CCTV footage is being deleted in order to make room for the more recent footage that is captured.
